Privacy Policy

This policy describes how Schedueler handles account, scheduling, guardian, billing, support, and AI-assisted feature data across the platform.

1. What Schedueler covers

Schedueler is a youth sports scheduling and operations platform for leagues, clubs, tournaments, coaches, officials, and family viewers. This Privacy Policy explains how Schedueler handles information collected through the website, authenticated workspaces, public schedule pages, mobile experiences, and related support workflows.

Schedueler is designed for authorized adults and organizations. Child or family data displayed in the service is generally supplied and managed by the organizations using the platform.

2. Information we collect

We collect account information such as name, email address, role, linked OAuth providers, organization membership, and sign-in metadata.

We collect scheduling and operational data such as teams, rosters, player names, guardian contact details, venues, surfaces, practices, games, tournaments, assignments, conflicts, schedule shares, and audit history entered by authorized users.

We collect family-viewer and guardian information such as parent or guardian email addresses and linked viewer relationships when organizations or coaches provide them through roster management.

We collect billing and subscription metadata such as plan tier, billing status, organization billing entitlements, Stripe customer identifiers, and Stripe subscription identifiers. Payment card details are processed by Stripe and are not stored directly by Schedueler.

We collect technical and security data such as IP address, request metadata, device/session information, log records, cookies, local storage state, and abuse-prevention data used to operate and secure the service.

3. How we use information

We use information to authenticate users, manage organizations and permissions, publish schedules, prevent conflicts, assign officials, support family-viewer access, process billing, respond to support requests, and maintain the reliability and security of the platform.

We also use information to maintain audit trails, investigate abuse or fraud, troubleshoot issues, enforce product rules, and meet legal obligations.

4. AI-assisted features

Schedueler currently uses OpenAI for two features: the public coach-help support chat and coach schedule image import. When those features are used, the submitted chat content or uploaded schedule image content may be sent to OpenAI for processing.

Users should avoid including unnecessary sensitive personal information in support-chat prompts or uploaded schedule images. Additional details are available on the AI Disclosure page.

5. How information is shared

Information may be shared with authorized organization users and workspace participants according to role permissions inside the product.

Schedueler uses third-party service providers for hosting, database infrastructure, email delivery, mapping/address services, authentication, AI processing, and payment processing. Those providers process information only as needed to provide their part of the service.

We may disclose information when required by law, to protect rights and safety, to investigate misuse, or in connection with a business transaction involving Schedueler.

6. Children and family data

Schedueler supports youth sports organizations and may process player and guardian information provided by authorized adults or organizations. Schedueler does not offer direct self-service child account creation in this phase of the product.

If you are a parent, guardian, or family viewer, most roster and player-data questions should first be directed to the league, club, or coach that manages the record in Schedueler. More detail is available on the Children and Family Data page.

7. Cookies, local storage, and tracking

Schedueler uses cookies and similar storage mechanisms for authentication, security, workflow state, provider-linking state, signup intent handling, and product reliability.

In this phase, Schedueler disables ads on youth-facing, family-viewer, public team, and public schedule surfaces. More detail is available on the Cookies and Tracking page.

8. Marketing communications

If you sign up for Schedueler marketing updates, we store your email address and related subscription state so we can manage those communications. Marketing communications are optional and can be unsubscribed separately from required operational emails.

9. Data retention

We retain information for as long as reasonably necessary to operate the platform, preserve schedule and audit history, support customer relationships, comply with legal obligations, and protect the service.

Retention periods vary by data type. Operational schedule history, audit records, and organization-managed data may be retained longer than marketing-only subscription records.

10. Your privacy requests

Depending on your role and jurisdiction, you may request access to or deletion of certain information. Because much of the data in Schedueler is organization-managed, some requests require coordination with the league, club, or tournament organization that controls the record.

Use the Privacy Requests page to submit access or deletion requests. Authenticated users may also submit requests from account settings.

11. Security

Schedueler uses reasonable administrative, technical, and organizational safeguards to protect information, but no method of transmission or storage is completely secure.
